What is the best day to take the table? Which table do you recommend to take?
If it is your first IDEAG we suggest you take the table on Sunday so that you can use Saturday as a day to get to know as many people as possible. It will be easier to have playtesters the next day.
If you don’t have particularly bulky games or games that need a lot of players we suggest you take an S table, you will have a tablemate to share the experience with. If on the other hand, you have a game that requires a lot of space take an L table, finally if you have mainly party games choose an M or L table.
Are there publishers present at the event? How can I contact them?
There are usually between 15 and 25 publishers present at the IDEAG 2025 event. Some are looking for games to include in their catalogue, while others are simply there to play and make suggestions to game designers. While more than 200 game designers are present at the event, so not everyone will have the opportunity to talk and have their prototype tested by a publisher.
IDEAG has been a community meeting point for over 20 years and an opportunity for many publishers to see the new things that already published designers have created in the last year.
To make it easier for first-time and/or unpublished authors, we forward the prototype list to publishers about ten days in advance of the event. In recent years, the number of prototypes present has grown more and more, making it increasingly difficult for publishers to consult this list. Choose well which prototypes to put on the list in order to catch their attention.
Having the opportunity to try out a prototype with a publisher is great, their feedback can help you improve your games. Try to build a good relationship with publishers.
How do shared S-tables work?
S-tables are large tables shared between two authors, each game designer has half of the table space available. The purpose of shared tables is to create more mingling between the game designers to encourage mutual exchange and playtesting. The first rule of IDEAG is to try and test, preferably in that order.
This year, the S-tables are all located on the larger tables to provide more space than in the 2024 edition.
If I get a table one day but am also present the other day, do I also have to register as a game designer without a table?
No. When you register as a game designer you acquire the badge to participate in the event. You do not have to register also as a designer without a table.
We only allow game designers to take the table for one day so that they can try other game designers’ games for a whole day!
The ‘without table’ registration is mainly for co-designers or those who prefer not to have their own table during the event.
I have a game with another game designer, can I have the table next to his?
No, it is not possible to guarantee the placement of tables next to a specific game designer, nor is it possible to guarantee that two designers are in the same room, nor to swap tables during the event. Therefore if you are a group of game designers, please reserve a single table.
We are a collective of game designers, can we take several tables and share them during the event?
We suggest to game designer collectives not to take more than one table during the same day in the first registration phase. But obviously, everyone has to consider how best to run the event. The idea is however to try to allow as many game designers as possible to access the tables.
Can I cancel my registration?
Yes, you can cancel your registration for IDEAG 2025. By doing so, you will make your table available to others. If another author takes your table, you will be refunded the registration fee, excluding transaction costs. To cancel your registration, please send an email to IDEAG@saz-italia.it indicating your Name, Surname, Email, and Phone number.
If I can’t attend IDEAG 2025 at the last minute, will I be refunded?
Unfortunately, the organization cannot refund contributions for non-attendance as they are used to cover the costs of the event, from room rental to the purchase of materials for setting up the event itself.
Can I sell my prototypes or games during the event?
IDEAG is a meeting that allows authors to meet, get to know each other, and discuss their game design activities. In addition, there are publishing houses looking for new games to add to their catalog.
Traditionally, during the meeting, it is not possible to carry out commercial activities, sell physical copies of your prototypes, self-produced games, or even copies of physical games.
This applies to all participants in the event, whether they are Game Designers, Playtesters, Bloggers, or Publishing Houses.
I have a Kickstarter campaign, can I distribute promotional material during the event? Can I use banners or roll-ups, use promotional tablecloths, etc.?
IDEAG is not a fair where you can promote your products, so it is forbidden to distribute promotional material for games distributed both in retail and on Kickstarter.
It is not permitted to set up an area on your table containing flyers, gadgets, or other promotional material. It is also not permitted to display Totems, Riders, Banners, or any other form of promotional material.
Is it allowed to film during the event?
Personal filming is allowed. Bloggers, Vloggers, and Journalists have been authorized by the organization to film.
However, authors are not allowed to install fixed video recording equipment for promotional purposes and to do live streaming during the event.
I’m a game designer, what do I need calendly/google calendar for?
When registering, you can insert the link to calendly or google calendar. Both services allow you to organize meetings. Over the years, publishers have repeatedly reported difficulties in finding game designers at their tables. Through these services, they will be able to reserve a slot to talk to you and try your prototype during the IDEAG days. This link is a tool for Publishers and Bloggers, don’t go hunting for appointments.
Last year some publishers appreciated the initiative, while others did not use it. Don’t be discouraged if you don’t have appointments with publishers, there will always be the possibility that they will stop by your tables or network during breaks.
I lost or deleted the link for my prototypes, what can I do?
First, check that you have added [indirizzo email rimosso] to your contacts in your webmail. Then check the spam and anti-spam filter rules. All communications come from that address so it is extremely important that you can receive these emails.
If the problem is not resolved, send an email to [indirizzo email rimosso] indicating which email you have not received. We will get back to you as soon as possible.
Can a publishing house take a table to test one of their games under development?
The game designers of the game can take a table in their own name to test their prototypes, regardless of whether they are already under contract or developed directly by a publishing house.
However, publishing houses must also register as Publishers in order to carry out selection activities.
As a Playtester can I participate in the training panels organized for Friday, January 17th?
Of course! The panels are open to everyone but booking is required as seating is limited.
Can my minor child participate in the event on January 17-18-19?
Of course! Everyone is welcome to participate in IDEAG!
